Status: Sent โ the proposal is in your client's inbox
You've clicked `Send`. The PDF is rendered, the email is on its way, the proposal number is assigned, and the audit trail starts here. Now you wait โ until the client opens it (`Viewed`) or signs (`Signed`).

The Sent status is your first checkpoint. Most clients view within minutes; some take days. Until they view, you have no signal beyond the timestamp on the Timeline. Once they open the link, the status flips to Viewed and you'll see exactly when.
Step by step
Confirm send succeeded.
A green toast "Proposal sent to {client email}" appears at the top of the dashboard. The Timeline records "Sent at 14:32 UTC" with an event detail of which email was used.
Optional: copy the public link.
From the proposal detail page, click
Copy linkin Actions. Useful if you want to send via Slack, WhatsApp, or your own email client too โ the public link works alongside the email.Optional: resend.
If the client says they didn't get it, click
Resendfrom Actions. A fresh email goes out with a new 4-digit PIN (the old PIN is invalidated to prevent confusion).Wait.
That's it. Most signing happens within 48 hours; the average across all Clozo proposals is 11 hours from
SenttoSigned.
Blue Sent badge on the dashboard. Timeline event "Sent at HH:MM UTC". Documents dropdown contains the proposal PDF (PRO-XXXX). Actions menu shows: Resend, Copy link, Withdraw, Duplicate.
Why this works this way
Why a separate PIN code rather than just trusting the email link? Email forwarding is uncontrolled โ once an email lands in an inbox, it's hard to know who else has access (assistants, IT, lost laptops). The PIN is a lightweight second factor: stealing the email isn't enough; you also need the four digits printed inside it. We log the IP and User-Agent of every PIN entry attempt, so if you ever need to dispute a signature, you have evidence of who accessed the document.

Status: Viewed โ your client has opened the link
The client clicked the email button, entered the PIN correctly, and saw the proposal. Status flips from `Sent` to `Viewed` automatically. From here, the next state is `Signed` (or `Declined`).
